Job Description:

SUMMARY/OVERVIEW

This position supports the immediate Supervisor(s) and requires an individual who possess the skills listed below to facilitate the day-to-day operations of the Department.

JOB DUTIES/RESPONSIBILITIES

  1. Coordinate administrative tasks as required.
  2. Monitor weekly, quarterly and YTD subscriber quotas for Vice President(s) ("VP") for all Networks.
  3. Interface with database manager to provide accurate detail of analog / digital / SD / HD information on Affiliates / cable systems.
  4. Research and provide accurate detail of analog / digital information on Affiliates utilizing sources such as Nielsen (FOCUS), Medea and other resources, as needed.
  5. Analyze MSO reports and prepare launch forms for newly launched systems.
  6. Maintain client databases and contact management software, including, but not limited to, Medea.
  7. Assist VP with marketing research, public relations, promotions, retention and acquisition for their corresponding MSOs.
  8. Review trade publications and update pertinent information with regards to MSOs.
  9. Create customized presentations as needed by VP.
  10. Initiate and maintain regular, ongoing correspondence to affiliates in corresponding MSOs, including typing letters, memorandums and reports for VP.
  11. Capable of communicating with affiliate contacts at all levels, to include Divisional, Regional, State and individual system levels.
  12. Assist VP with all trade show details.
  13. When necessary represent VP at State / Regional cable events.
  14. Submit sponsorship / membership / registration check requests with justification and event date / check due date.
  15. Coordinate with Marketing Coordinator on premiums needed for cable operators.
  16. Make travel arrangements, schedule appointments, complete expense reports & purchase orders.
  17. Willing to help in any way, including request from other Departments, such as Marketing, Finance and/or Legal.
  18. Even though the VP is responsible for maintaining their budget, the Assistant is to verify actual spent vs. available budget and recognize discrepancies and/or overages.
  19. Perform other administrative duties, as needed.

Experience and Skills:

REQUIRED SKILLS/EXPERIENCE

1. Team player who is capable of working with little supervision.

2. Detail oriented & very organized.

3. Proficient in MS Office 2016 (WORD, Excel, PowerPoint, and Outlook) and Apple applications (Keynote).

4. Must be capable of working in a fast-paced environment with stringent deadlines & confidentiality.

5. Proficient in both written & verbal communications.

6. Excellent telephone skills.

7. 2+ years of administrative assistant experience is preferred.

8. Bachelor’s degree or extensive experience in the administrative role.
